Name both contacts
Identify the person arranging the booking and the person travelling. Provide a passenger contact that will work on the day, with the international country code. Keep billing questions directed to the organiser if that is the agreed arrangement.
Pass on practical instructions
Send the traveller the pickup time, meeting instructions and reference. Do not forward payment credentials or unrelated personal information. Check that the traveller knows which service to contact if the flight or destination changes.
Coordinate updates once
Agree who will communicate changes to the transfer. If both organiser and passenger send updates, make sure they refer to the same confirmed itinerary. A single consolidated message reduces ambiguity.
