Name a reachable person
Designate a person who can be reached on behalf of the group on the travel day. This person should know the booking reference and the number of people travelling. The pickup can then be coordinated without several conflicting instructions.
Do not mix up arrivals
For different flights, note each flight number separately and explain whether everyone should travel together. If part of the group is delayed, the planned schedule may change. Have it confirmed how the pickup will be handled in that case.
A complete luggage list
Count large suitcases, hand luggage and special items for the whole group. The number of seats alone does not describe the space required. Report changes before the vehicle for your journey is finalised.
